A general inspection is undertaken at least weekly to ensure there are no obvious issues.  Since the last report the following has been noted.

  1. Contractors have been generally tidying the hedges, bushes and some of the trees, over a two-day period.  Their remit was to shape the bushes and some of the trees, undertake any lopping of unsafe branches and to clear the lodge guttering.  They did an excellent job and a letter of appreciation has been sent.
  2. As a result of a discussion with the Contractor, a quote has been requested for the price of an assessment of all the trees and bushes with a view to prioritising any that may need more specialist work. Any recommendations will be bought before the Council.
  3. A complaint has been made in relation to a “digger” being driven over some of the graves leaving ruts across them. This was due to infilling a grave after a recent burial.  A letter has been sent to the relevant undertaker stating that this is disrespectful behaviour and asking that this does not happen in the future.  The Maintenance Contractor was asked to try to made good the ground in the short term. The Clerk and Cemetery Representative to meet to discuss documentation sent to undertakers in the future.
  4. Ice Melt has been purchased and stored in the Cemetery Lodge, for the Maintenance Contractor to use during icy conditions. The Maintenance Contractor has a spreader to undertake this.
  5. A Memorial Safety Policy has been drafted. Proposed that this is agreed. Following agreement, a planned inspection approach to be agreed, in accordance with the policy, to undertake inspections of all of the memorials.  The Clerk and Cemetery Representative have undertaken a trial by inspecting three memorials which visually appeared to be unsafe.  By manually pushing these, they were deemed unsafe.  Letters have been set to the appropriate memorial owners.
  6. The Maintenance and Caretaking Contract is ongoing with an end date of 31 March 2023.
  7. The Grounds Maintenance Contract ends on 31 March 2022. The Contractors are working well and communicating with the Cemetery Representative.  Proposed that the contract is extended to 31 March 2023, subject to the Chairman and Cemetery Representative amending the current contract, as applicable.
  8. All other Cemetery issues are ongoing, and will be reported to the Council during the year.
